Role Overview & Responsibilities

We are looking for a first class administrator to support our fantastic Volunteer Services Department. We are a friendly hard working team who manage all volunteers associated with the RNOH. Our role is to support both the patient experience and staff at the Trust.

We currently have over 200 volunteers. Exciting new roles and projects are being developed and you will be key in the recruitment, deployment and support of the volunteers in these roles managing rotas and providing ad hoc cover as needed.

The post is for one day per week which ideally will be split over two half days.

We are looking for someone with some understanding of volunteering, who has a β€œcan do” attitude who is happy to undertake whatever tasks are needed and β€œget stuck in”.

A sense of humour is prerequisite for the post as no two days are the same!

This is an exciting role for an experienced administrator with a proven record of being a team player and ability to work independently.

You may be undertaking admin one day whilst being hands on the next in a volunteering initiative. No two days will be the same and this is a varied and interesting role for the right person who likes meeting and engaging with all sorts of people from different backgrounds.

The Involvement and Volunteering team is responsible for all volunteering within the Trust. This post has specific responsibility for the smooth running of admin support with the Volunteer Coordinator.

The post holder will be required to work with minimal supervision and the ability to work to tight deadlines, sometimes under pressure and be able to exercise sound judgement and decision-making skills.

We are looking for a team player to join us who is an excellent communicator with a can do attitude with a friendly disposition. Someone who is solution focused and a creative thinker to provide solutions for issues and problems as they arise.

You will have excellent record keeping skill and the ability to prioritise workload and multitask.

We are a small team of three.

The Involvement and Volunteer Lead is full time post and has overall management of the department.

The Involvement and Volunteer Coordinator is full time and undertakes the operational aspects of the department.

The Volunteer Services Assistant makes up the third member of the team to support with administration for the whole department. We also have two experienced admin bases volunteers.

As a small, but perfectly formed, team we work closely together bringing our different skills sets to support the whole department, the volunteers the patients and staff.

Volunteer Services is completely funded by The RNOH Charity (not the NHS) although we are managed and supervised by the NHS via the Patient Experience and Quality department.

Duties and Responsibilities:
Organise rotas and ensure, to the best of your ability that all shifts are covered. Advise the team of any issues.

Undertake DBS and references.

Help with localised inductions.

Develop expert use of our volunteering database – training provided.

Printing of ID badges and liaising with estates for access issues.

Developing new volunteer and experience initiatives and expansion of service

Help on board new volunteers including training where appropriate.

Undertake support and supervision of volunteers

Managing volunteer’s generic emails

Answering queries.

Promoting volunteering across the Trust and externally.

Assist with ad hoc corporate volunteer projects in the development and promotion of Volunteer Services.

Working with multiple stakeholders in and outside the Trust to promote, expand and support the service

The post holder will be expected to get involved in promotions and act ivies to support the department, the hospital and the Charity.
